Stock Explorer III  provides a comprehensive integrated stock control program and kitting system for the small and medium manufacturing or distribution operation.

Key Features

Parts:

Stock may be viewed by category, by supplier or by assembly. Free stock, physical stock and components on order can be easily checked. Stock levels requiring attention are colour coded for easy identification. topstock control and kitting software

Transactions:

Every component and assembly transaction (opening balance, purchase, kitting allocation, usage and shrinkage) is logged and available for review.

Assemblies:

Assemblies can be added to other assemblies to create any number of sub-levels. Assembly stock levels and status can also be viewed.

Customer Orders:

Entering a customer order allocates all necessary parts and allows viewing of availability, selling prices an order status. topstock management system UK

 

Works Orders:

Processing a works order allocates all necessary stock, and a review of components will rapidly identify shortages. Works orders may be associated with a customer order. Picking lists can also be generated.

 

Purchase Orders and Goods Received Notes:

Orders can be generated in minutes (perhaps even in seconds) by dragging required components from a stock review panel into an open order.

Purchase orders may be grouped in batches if required and an automatic order generation feature is available.

A send via E-mail option allows immediate composition and dispatch of e-mail orders.

Goods received notes (GRNs) may be used to record received goods.

 

Delivery Notes:

These can also be generated in no time by dragging items from customer orders into an open delivery note.

Customer order items may be added to one or more delivery notes.

The stock is automatically updated (i.e. ‘allocated stock’ becomes ‘used stock’).

The printed delivery note and purchase order may be configured to resemble existing company stationery, or to overprint company forms.

 

 

Reports:

More than 50 report types are available + numerous configuration options. Purchase Orders and Delivery Notes are customisable to suit individual requirements. top

 

Security:

Access to the system can be password protected. Editing and viewing permissions may be individually configured for each user. Multiple databases may be created (e.g. Manufacturing and Engineering) each with their own access permissions.

 

Miscellaneous:

Other features include returns notes, scrap notes, quarantine, supplier and customer information, company / employee details, stock-taking functions and a number of views designed to offer useful analysis of the stock, expenditure and related data.

 

Warehouse Module:

The warehouse module adds functionality to the basic Stock Explorer system.

The module handles all inputs and outputs from the warehouse and provides stock-taking features.

When an item is received by Stock Explorer, it is placed in a nominal warehouse location. This location is designated as the warehouse floor (!Floor).

When an item is picked for a works order it is transferred to the factory floor (!Factory). Similarly a built assembly is located on the factory floor.

The main purpose of the warehouse module is to re-assign items to designated locations within the warehouse and to track all subsequent movements.

In the basic Stock Explorer each part can be associated with one or more bin locations using the 'location' field in the components or assemblies tables. The 'location' field is not used by the warehouse module, however it can still be used to record preferred or default locations for specific items.

 

Overview:

The 'Stock View' shows the locations and quantities of the stock item.

The 'Bin View' shows the breakdown of the stock item in a specific bin location.

Clicking an item in the 'Stock View' causes the 'Bin View' to update accordingly.

Items in the 'Distribution Cell' may be transferred to a new location.

Transferring Items Between Locations:

Items may be moved from one location to another by transferring items onto and out of the 'Distribution Cell'. A 'Notes' field is visible during this process which may be used to record the reason for the move etc.

 

Quarantine:

Items may be transferred to and from quarantine simply by using the 'Warehouse Selector' in conjunction with the 'Location Selectors'. A 'Notes' field is visible during this process which may be used to record the reason for the move to or from quarantine. Refer to Section 4 of the manual for more details.

 

Stock Adjustments and Scrapping:

These features are also available from within the module.  top

 

Stock History:

The 'History' tab lists all warehouse transactions related to the current item. Some items may be marked with an asterisk (far left) indicating that a notes record was saved with this transaction. Clicking on the item will display the notes in the lower panel.

Getting Help:

An extensive on-line help system is available. This can be accessed from the 'Help' menu.

The help system is context sensitive. To get help on a specific subject, open a folder (e.g. Purchase Orders) and press F1.

In addition a manual is provided in PDF format and can be viewed on-screen provided a PDF reader is installed on the machine.

Stock Explorer III allows the import of customer, supplier, component and assembly information

from suitably formatted text files. This normally allows you to quickly transfer most of your existing

important data.

 

However some of our previous customers have requested assistance with the transition from their

existing system to Stock Explorer. Therefore whatever your requirements we can help you with the

process of initialising and configuring your Stock Explorer System.

 
Provided you can supply us useable data we can fulfill most of your start-up requirements for you.
 
For example:
 
1. Import customers, suppliers, components and assemblies.
 
Typical source data;
Formatted text files (csv, tab-separated, fixed field length etc.)
Excel tables
MS Access database files
 
Please clarify the names of each field to ensure the data is correctly assigned.

2. Create assembly hierarchies (sub-assemblies and components).

Purchase orders, delivery notes and returns notes may all need to be customised to resemble

your existing company stationery. You can do all of this for yourself but it can be time-consuming

We can configure them for you, adding notes and other text, we can include your company logo,

reposition text and labels, change fonts, sizes and styles and generally make the printed

documents conform to your needs.
